Running a business as though it is being showcased for sale is the best way to ensure that it is running optimally. One of the best ways to do that is by documenting systems and processes that streamline operations, increase efficiency, and enhance customer experience. Systems and processes are the set of steps and actions that are followed to achieve a specific outcome, such as delivering a product or service, managing finances, organizational development, or hiring new employees.

Here are some tips to help you get started:

- Identify goals and objectives. Before designing any system or process, you need to have a clear idea of what outcomes you want to accomplish and how it supports your strategic plan and growth goals.

- Assess current ways that work is being done. Before documenting a system or process, make sure that it is producing the desired results. If not, re-design it in a way that can produce those results and once satisfied, follow the steps below to document it.

- Map out your current workflow. The next step is to document how you currently do things in your business. You can use tools like flowcharts, diagrams, or checklists to visualize your existing workflow and identify the steps, tasks, roles, and resources involved. This will help you spot any gaps, inefficiencies, or bottlenecks that need improvement.

- Measure critical activities. Performance can only be improved if systems and processes are followed and measured. When measuring critical points within a workflow, any system such as KPI, OKR, KRA, and others can be used. This will help identify bottlenecks, inefficiencies, and stall points that need to be addressed.

- Monitor and review. Finally, you need to regularly monitor and review your system or process to ensure that it is still working as intended and delivering the expected results. Doing this is even more important when goals change due to capacity changes, availability of raw material or talent, or new product or service offering.
